What Is Microsoft Copilot Cowork and Why Should Businesses Be Paying Attention?

Artificial intelligence is rapidly moving beyond answering questions and drafting content. Microsoft Copilot Cowork marks the next stage, enabling users to delegate multi-step work that spans multiple applications and business information sources.

Rather than simply telling you how to complete a task, Copilot Cowork can develop a plan, carry out the required steps and deliver the completed work for your review. It can work across Microsoft 365 applications such as Outlook, Teams, Word, Excel, PowerPoint, SharePoint and OneDrive, while keeping you informed and in control.

What is Microsoft Copilot Cowork? 

Copilot Cowork is an agentic AI system built into Microsoft 365 Copilot. It is designed to plan, execute and deliver work on behalf of the user. 

You describe the outcome you want, and Cowork creates a plan to complete it. Depending on the request, it can search your organisation’s information, review emails and documents, create reports, schedule meetings, send communications and manage files. 

For example, you might ask Cowork to prepare a project update for next week’s management meeting, including outstanding tasks, recent correspondence, key risks and a summary presentation.

How is Copilot Cowork different from Copilot Chat? 

Copilot Chat is useful when you need a quick answer, summary, idea or document draft. Copilot Cowork is intended for more complex work that requires multiple steps and actions across different applications.

Microsoft describes Copilot Chat as an AI assistant for drafting, summarising and answering questions, while Cowork is designed to complete coordinated, multi-step work across Microsoft 365. 

Connecting AI with your business information 

One of Copilot Cowork’s most significant capabilities is its ability to use the information already stored within your organisation. Through Microsoft’s Work IQ technology, Cowork can use the context available across your Microsoft 365 environment, including: 

  • Outlook emails 
  • Teams chats and channels 
  • Calendar appointments and meeting information 
  • Word documents and Excel spreadsheets 
  • PowerPoint presentations 
  • SharePoint sites and document libraries 
  • OneDrive files 

Cowork can also connect to Microsoft Fabric, Dynamics 365, and supported external systems via plugins. This allows organisations to extend Cowork beyond Microsoft 365 and bring other sources of business data into their AI-assisted workflows. 

This is an important difference between Copilot Cowork and a general-purpose AI service. A general AI tool may be able to help write a report, but it may not have access to the emails, meetings, documents and business systems needed to prepare an accurate report. 

Cowork is designed to use that organisational context while continuing to respect the permissions already configured within Microsoft 365. Users do not automatically receive access to information they would not normally be permitted to view. 

This makes good Microsoft 365 data management particularly important. SharePoint permissions, file structures, naming conventions and access controls all contribute to the quality and security of the information available to Copilot. 

Completing multi-step business processes 

Many workplace tasks are not difficult because of a single complex step. They are time-consuming because they involve finding information, switching between applications, creating documents and communicating with several people. 

Copilot Cowork is designed for these multi-step processes. For example, preparing for a customer meeting might normally require someone to: 

  • Review recent emails. 
  • Locate previous proposals. 
  • Check outstanding actions. 
  • Review meeting notes. 
  • Prepare a customer briefing. 
  • Create a meeting agenda. 
  • Send the agenda to attendees. 

Cowork can coordinate these activities as part of one delegated task. It can show the user its proposed plan, report on progress and pause at checkpoints where approval is needed. Users can also provide additional instructions while the work is underway. 

This approach allows employees to delegate routine research, preparation and administration while continuing to oversee the final result. 

Scheduled and recurring tasks 

Copilot Cowork is not limited to requests that are run once. Prompts can also be scheduled so that recurring tasks happen automatically. 

  • Preparing a daily briefing of meetings and priorities. 
  • Producing a weekly project status summary. 
  • Reviewing a shared mailbox for items requiring attention. 
  • Creating a monthly management report. 
  • Preparing a weekly summary of customer activity. 
  • Reviewing upcoming meetings and assembling relevant documents. 
  • Drafting regular stakeholder updates. 

The ability to schedule these tasks can turn a useful AI prompt into a repeatable business process. Rather than relying on an employee to remember to run the same report each week, Cowork can prepare it according to a defined schedule. 

Human review remains important, particularly where Cowork is preparing external communications or making significant changes. Microsoft states that Cowork includes approval checkpoints before actions such as sending an email or making a major update. 

Maintaining control over AI-assisted work 

Allowing an AI system to complete business tasks requires appropriate controls. Cowork displays the steps it is taking so users can follow its progress. It can pause for clarification and present proposed actions for approval before applying important changes. 

Before deploying tools such as Copilot Cowork, businesses should consider: 

  • Who should have access? 
  • What information can users currently access? 
  • Are SharePoint and Teams permissions correctly configured? 
  • Is sensitive information appropriately protected? 
  • Which tasks are suitable for AI assistance? 
  • Which actions require human approval? 
  • How will AI-generated content be reviewed? 
  • Are staff trained to use AI safely and effectively? 
  • Does the organisation have an acceptable use policy for AI? 

AI can accelerate a good business process, but it can also expose weaknesses in information management, security and governance. Reviewing these areas before wider adoption can help an organisation achieve better results while reducing risk.

The first generation of workplace AI focused heavily on answering questions, summarising information and generating content. Cowork moves closer to an AI co-worker that can plan work, coordinate information and complete actions across the applications an organisation already uses. 

For businesses invested in Microsoft 365, this creates opportunities to reduce repetitive administration, improve the consistency of recurring processes and give employees more time to focus on customers, decisions and higher-value work. 

The greatest benefit will not necessarily come from using Cowork for one large or complicated project. It may come from identifying the smaller tasks employees repeat every day, week or month, then determining which parts can be safely delegated.
